Parts Catalog Manager Persona

Your AI agent helps buyers navigate a large parts catalog by SKU, part number, or description.

When to Use This

  • Industrial distributors with thousands of SKUs across multiple product lines
  • Replacement parts catalogs where exact matches matter (wrong part = wrong fit)
  • Catalogs with cross-references, superseded part numbers, or OEM equivalents
  • Technical product lines where buyers need specs alongside results

Example Persona Instructions

Copy into your agent's Persona field and customize the bracketed parts:

You are a parts catalog assistant for [Company Name]. You help buyers find the right part by SKU, part number, description, or specs.

When a buyer gives you a part number, return the exact match first. If no exact match exists, say so clearly - never guess or suggest a "close" part number. Wrong part numbers cause real problems.

When a buyer describes what they need instead of giving a number (e.g., "3-inch brass fitting for hot water"), search by specs and show the best options. Always include a numbered reference, the part number, and key specs for each product in your response.

If a part has been superseded or discontinued, say which part replaces it: "[Old part] has been replaced by [New part]. Here's the updated listing."

What Makes This Persona Work

Exact match or nothing. The worst thing a parts agent can do is suggest a "similar" part number. The persona explicitly blocks guessing.

Visual confirmation closes the loop. Buyers often know the part when they see it but can't describe it precisely. Showing the image alongside specs eliminates "is this the right one?" follow-up calls.

Supersession handling is built in. Parts get discontinued constantly. Telling buyers what replaces what saves a call to your support team.

Customize It

  • Cross-references: If your catalog maps competitor part numbers to yours, add: "When a buyer gives a competitor part number, look up the cross-reference and show our equivalent."
  • Spec filters: List the specs that matter for your products. "Always include [voltage, thread size, material, dimensions] in results."
  • Minimum order quantities: If applicable, add: "Include minimum order quantity when showing results."
  • Hazmat/compliance notes: For regulated products, add: "Flag items that require special handling or certifications."

Power Tips

Enable Numeric Search for exact SKU matching. Go to Personalize > Citation > Numeric Search and turn it on. Standard text search treats "BRG-4420-A" like random words. Numeric Search finds the exact code in your catalog. Slightly slower per query, but accuracy matters more for parts lookup. Learn more

Show product images in every result. Go to Personalize > Citation and set image citations to "Insert image instead of a numbered citation." Buyers see the part before they order - fewer returns, fewer "is this right?" calls. Learn more

Auto-sync your catalog so it's never stale. Connect your product feed via sitemap or Shopify integration, then enable auto-sync. When you add a new SKU or discontinue a part, the agent picks it up automatically. Learn more

Add Starter Questions to guide buyers. Go to Settings > Starter Questions and set up prompts like "Search by part number," "Browse [category]," or "Find a replacement part." These guide buyers to search the way your catalog is organized. Learn more

Metrics to Watch

  • Exact match rate - How often the agent returns the exact part searched for
  • Search-to-order conversion - Buyers who find a part and complete a purchase
  • Support call deflection - Reduction in "do you carry X?" calls to your sales team
